Select many messages
Select a few messages, a whole page or every message in a folder, and act on all of them at once.
Windows, web and phoneSelect messages
- One message: point at a row and tick its box. Ticking the box never opens the message. Once anything is selected, every row shows its box.
- A few: hold Ctrl and click each message.
- A range: tick one message, then hold Shift and click another. Everything in between is selected too.
- Everything on the page: tick the box at the top of the list, or press Ctrl+A. The arrow next to that box also selects All, None, Read, Unread, Starred or Unstarred.
- Clear the selection: press Esc, or select the × at the end of the bar.
Select every message in a folder
The list shows a page of messages at a time. To act on all of them, including the ones not shown yet:
- Select everything on the page with the box at the top of the list.
- A line appears: “All 50 messages on this page are selected.” Select Select all 1,284 messages in Inbox.
- It now says “All 1,284 messages in Inbox are selected.” Choose what to do in the bar. Select Clear selection to go back.
Act on them all
The bar above the list shows how many are selected, with Archive, Delete, Read (or Unread), Snooze and More. More has the rest: Move to, Report spam, Block, inbox tabs and labels.
For a big job you see “Updating 1,284 messages…” with a progress bar, and you can keep using the app. At the end, one note says what happened, for example “Moved 1,284 messages to Trash”, with Undo. One Undo puts the whole job back.
On your phone
- Touch and hold a message. It is selected, and a check circle replaces each sender picture.
- Tap more messages to add them, or tap a selected one to remove it.
- The box at the top selects All, None, Read, Unread, Starred or Unstarred among the messages loaded in the list. Scroll down to load more first if you need them.
- Use the bar at the bottom: Archive, Delete, star, read or unread, and More for Move to, Snooze, Report spam and Block. Select the × at the top to stop selecting.
In the web app
Tick the box at the top of the list to select every message loaded in the list. The arrow next to it selects All, None, Read, Unread, Starred or Unstarred. The bar then works as in the Windows app.
Questions
Does “Select all” include mail I have not downloaded yet?
Yes, for a whole folder (and for the All inbox tab): it also covers messages that are only on your mail server. Mail that arrives after you selected is never touched. In another inbox tab, a label or a search, it covers the messages on this PC.
Why are some options missing when every message in the folder is selected?
Snooze and Block are not offered while every message in the folder is selected. Select fewer messages, for example everything on the page, to use them.
Can every change be undone?
Almost always. On some older mail servers, messages that were never downloaded to this PC cannot be moved back by Undo.
Can I select every message in a folder on my phone or in the web app?
Not yet. There, “All” means every message loaded in the list. Selecting a whole folder, including mail not downloaded yet, is in the Windows app.
